Centenary of Byford Country Fair - Stallholder Conditions

Organisation and Promotion

1.   The Organiser and Promoter of the Centenary of Byford Country Fair is The Briggs Park Community Group (Inc), PO Box 35, BYFORD  WA  6122
2.   The Centenary of Byford Country Fair will be held in Briggs Park which is on Mead Street in Byford.
3.   The Promoter reserves the right to cancel the Fair due to inclement weather and will not accept responsibility for any consequential loss or expense of Stallholders.
4.   Should a Stallholder be deemed by the Promoter to not comply with The Conditions then the Promoter reserves the right to cancel the Stallholder’s rights to occupy a stall location and to remove said stall without refund of fees or liability to the Stallholder for compensation or loss.
5.   Stallholders shall at all times comply with the instructions and directions of the Promoter and its representatives.
6.   The Promoter cannot guarantee that any advertised event or service will be provided where the provision of the event or service is beyond the control of the Promoter.
7.   The Promoter reserves the right to take photographs of the stalls at the Fair for use in publicity and promotion unless notified otherwise in writing by the individual stallholder prior to the Fair. 
8.   Proceeds from the Centenary of Byford Country Fair will be donated to Charity and Community Organisations selected by the Promoter. 
 

Applications for Stalls

1.   Stalls will only be available to those who register. Registrations for a stall allocation are available via post from:

2.   Completed forms are to be posted with full payment of all fees to

3.   Continuing with the selection of a stall shall constitute acceptance of these Conditions and the decision to accept/reject or cancel any application will be at the sole discretion of the Promoter.
4.   All stall reservations must be accompanied by a cheque/money order made payable to "The Briggs Park Community Group" for the full amount of the fees and charges as determined on the form.
5.   Applications withdrawn in writing more than 7 days prior to the event will incur a $40 + GST administration charge. Applications withdrawn after this date will not be eligible for a refund except due to exceptional circumstances and at the sole discretion of the Promoter.
6.   Applicants will receive an e-mail notification of acceptance within 14 days of receipt of full payment of all monies due for stall reservations.
7.   Applicants who are unsuccessful in their application for a stall will receive a refund of all fees paid.
8.   Stallholders shall be responsible for their own insurance and risk associated with the operation of a stall at the Austral Bricks Centenary of Byford Country Fair and shall indemnify the Promoter and the Shire of Serpentine Jarrahdale against all claims for product and public liability associated with their stall and the products they sell.  Certificates of insurance currency are required prior to the fair commencement date.
9.   Stallholders are required to comply with the Shire of Serpentine Jarrahdale By-Laws on hygiene requirements and hold any Licence or permit issued by the Shire of Serpentine Jarrahdale. The stallholder will obtain any licences or permit and pay all fees to the Shire of Serpentine Jarrahdale prior to the commencement of the fair. Stallholders that do not comply with the Shire of Serpentine Jarrahdale provisions will be refused access to their allocated stall.
10.   Stallholders intending to sell foodstuffs as crafts, must adhere to all of the health regulations prescribed by the Shire of Serpentine Jarrahdale.  This food is required to be prepared before the Fair and sold in sealed and labelled jars and containers.  No food is to be prepared at the Fair unless prior arrangements have been made with the Promoter.

Allocation and Marking of Stalls

1.   The allocation of stall positions and locations will be at the sole discretion of the Promoter. The Promoter reserves the right to re-allocate and create new stall positions on the day of the Fair.
2.   Shade will not be available at Stallholder locations. Stallholders are allowed to erect approved umbrellas and other light weight shade structures with the permission of the Promoter and provided the whole of such structures are contained within the allocated stall space and are adequately secured so that they do not blow down. The Promoter reserves the right to order unstable structures to be removed.
3.   The Promoter will clearly mark and identify stall areas on the ground and stall locations will be as indicated on the online stall selection map. Stallholders are required to contain their stall within the identified boundaries as marked or otherwise identified by the Promoter on the day of the Fair.
4.   Each Stallholder is responsible for providing their own furniture and shade structures.
5.   Powered stalls are available and will attract an additional charge as is displayed on the stalls application forms.


Setting up and Dismantling of Stalls

1.   The Fair will be open to the public between the hours of 10.00 am and 4.30 pm.  Stallholders are required to set-up their stalls between 7.00 am and 9.30 am on the day of the Fair otherwise access may be denied by the Promoter.
2.   Stallholders are to obey all instruction from reception and parking staff on the day of the Fair. Stallholders shall only park in areas designated by the Promoter.
3.   Stallholders shall be responsible for the moving of their wares and equipment from the car parking areas to the location of their allocated site.  The Promoter will provide assistance if requested but will not be responsible for breakages or loss.
4.   Vehicle access to the fenced area of the Fair will not be allowed.  Stallholder’s vehicles left in areas other than designated parking areas for the duration of the Fair may be subject to the issue of a parking infringement notice.
5.   Only nominated Stallholder’s vehicles will be allowed access to the parking area.
6.   All stalls are to be dismantled between 4.30 pm and 6.00 pm.  Stallholders shall be responsible for the removal of all waste and rubbish from the stall site. The Promoter will provide strategically placed bins for the use of Stallholders.


Operation of Concessions

1.   Applicants wishing to be considered for the operation of food, drink, rides or entertainment concessions at the Fair will be required to complete a separate application form and comply with additional Conditions which will be advised by the Promoter.
2.   Any electrical equipment to be used at the Centenary of Byford Country Fair must have the relevant tags and certification attached prior to the event and will be inspected by a suitably qualified electrician prior to it being used at the fair.
3.   All tents, stages and marquees with an area greater than 50 square metres, must be constructed and erected with attached certification, in accordance with the relevant structural and safety standard.  Such certification will be checked prior to it being used at the fair.
